IT Manager

As our IT Manager, you’ll take full ownership of our internal IT operations, support workflows, and growing automation needs. You’ll lead a small support team, collaborate with leadership, and build the systems that keep our business and partners’ businesses running smoothly. Contract Type: Independent Contractor or Employment Contract
Type of Work: Full time (40 hours per week)
Location: Hybrid
Work Schedule: Mon-Thu: 15:00 – 00:00 EET, Fri: 16:00 – 22:00 EET, including lunch breaks
Salary Range:  11,000 – 13,000 RON gross monthly, based on skills and experience
Reporting to: Chief Technical Officer

Responsibilities
  • Manage, mentor and grow a small IT support team, a reporting specialist, and an automation/systems specialist

  • Oversee day-to-day helpdesk operations, ensuring timely resolution and high-quality service for internal staff and partner clinics

  • Drive automation initiatives to reduce manual work, improve response times, and streamline recurring processes

  • Maintain and optimize tools including helpdesk platforms, CRMs (HubSpot preferred), and internal business systems

  • Monitor key performance indicators such as ticket resolution times, CSAT scores, SLA compliance, and team workload

  • Ensure documentation, SOPs, and internal knowledge bases are accurate and regularly updated

  • Act as point of contact for IT-related issues with clinic stakeholders and internal business teams

  • Collaborate with leadership to plan IT capacity and scaling strategy for upcoming clinic launches

  • Enforce IT security policies and HIPAA-aligned compliance practices where applicable

  • Take full ownership of IT operations

Key Requirements
  • 3+ years of experience in IT support or systems management, including 1-2 years in a supervisory, lead or management role

  • Solid understanding of help desk operations and service delivery frameworks (e.g., ITIL)

  • Comfortable managing small, cross-functional teams and coaching junior staff

  • Strong working knowledge of business systems (CRMs, productivity tools, ticketing systems)

  • Proven experience improving IT processes, implementing automation, or driving performance metrics

  • Experience implementing or scaling internal ticketing systems
  • Clear, confident communicator who can translate technical issues to non-technical audiences

  • Able to work independently, prioritize effectively, and escalate only when necessary

  • Experience supporting multi-site or distributed operations

  • Strong English skills, both written and spoken
Nice to Haves
  • ITIL, CompTIA, or other service management certifications

  • Prior experience with HubSpot administration or automation tools (e.g., Zapier, Make, Python scripts)

  • Track record of building IT documentation or knowledge base resources from scratch

  • Familiarity with HIPAA or handling sensitive data is a plus
